Amani UK is a humanitarian charity with the aim of community development. While guided by Trustees motivated by their Christian faith, Amani UK operates across the whole community it serves, irrespective of faith or belief. We are a charity registered in England and Wales, charity number 1073357, and our registered address is Amani UK, 14 Maxwell Drive, Hazlemere, Bucks HP15 7BX, United Kingdom.

What personal data we collect, how and why we collect it, and how long we keep it for

Personal data

The personal data we collect might include your name, your postal and email addresses, your telephone number/s, your date of birth and any organisations you represent. We will also collect details of any correspondence that we have had with you, your preferences about how you would like to hear from us, and when you told us these preferences.

We collect this data when you buy a gift or donate to Amani UK, whether online or by post, when we have direct contact with you through email, by phone or in person, and when you fill in a contact form on website.

We may use your personal data to:

  • communicate with you – updating you with news and stories about our work, and providing any information you have requested
  • ask for financial support and non-financial support such as volunteering, prayer or awareness raising
  • process purchases and donations, including claiming Gift Aid
  • help us to plan our marketing, for example to only invite those local to an event to come along
  • engage with your organisation (if you have shared this information with us) to explore partnership opportunities or to offer a speaker/further information about Amani UK
  • approach you in your professional capacity, for example as a Trustee or organisational leader, to seek advice, support or partnership
  • carry out market research

We keep your personal data for 3 years after the last ‘active engagement’ at which point we may contact you to find out if you would like us to keep your data on record.

Transactional Data

We also collect details about any Buy A Gift purchases you make with us and any donations you give to Amani UK, including whether these are in relation to a specific area of our work or in response to a specific fundraising appeal. When you engage in either of these transactions with us we may collect your bank account details and whether or not you have signed up to the Gift Aid Scheme, and when you did so.

We collect this data when you buy or donate through the website or via a postal form.

We use this data to process your purchases and donations, including claiming Gift Aid, and if we need to do so to comply with a law, process or regulatory requirement

We keep data about your transactions for 7 years.

Sensitive Data

If you travel to the projects supported by Amani UK in Kenya, we may also collect sensitive data including information about your health and your passport details. We only collect this through direct contact with you by email, phone or in person. This information is only used to facilitate your visit with the necessary travel and medical provisions and will not be used by Amani UK in any other way. We keep this information for 2 years after your trip has concluded. This period will be decreased or increased if we receive a request from you in writing.

Contact Forms

When you fill in a contact form the data we capture is your name and email address. This information will be used only for customer service purposes and it will not be used for marketing purposes. We will keep this information for 3 years.

Cookies

Cookies are small pieces of text used to store information on web browsers. Cookies are used to store and receive identifiers and other information on computers, phones, and other devices. Other technologies, including data we store on your web browser or device, identifiers associated with your device, and other software, are used for similar purposes.

Our WooCommerce shop

To keep track of your shopping cart data, our shop plugin makes use of 3 cookies:

wp_woocommerce_session_

The first two cookies contain information about the cart as a whole and helps WooCommerce know when the cart data changes. The final cookie (wp_woocommerce_session_) contains a unique code for each customer so that it knows where to find the cart data in the database for each customer. No personal information is stored within these cookies.

Facebook

This website contains a link to our Facebook page. Facebook uses cookies and receives information when you visit those sites and apps, including device information and information about your activity, without any further action from you. Who we share your data with

Some personal data is shared with our payment processors – Paypal – but only when an online purchase is made. PayPal collects information about the transaction, as well as other information associated with the transaction such as the name of the purchaser, the amount paid for products or services, and other billing information supplied. All data is held in secure password protected files

Your data can only be accessed by our trustees and appointed advisers

We use cloud-based and hard drive systems to store your data. For cloud-based storage this means data may be processed outside of the European Economic Area (EEA). We do everything we can to make sure your data is looked after as described in this policy. By giving us your personal data you’re agreeing to us using cloud-based systems to process it

We do not store debit / credit card data

In the event of a data breach Amani UK’s trustees will be informed and the breach will be investigated. Everyone affected by the breach will be informed and kept up to date with any investigations

We abide by the guidance and rules issued by the Information Commissioner’s Office

 If you travel overseas with us, in emergency situations we may share relevant personal information with partners in overseas locations. This may include sensitive personal data, for example, medical information. If there is a need to do this we will contact you.

What rights you have over your data

As our customer/supporter you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any or all personal data we hold about you, or request limitations as to how we use that data. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Changes to our privacy policy

We last updated this policy in November 2018. We will amend this policy if there are any changes to how we do things or changes to data protection or other legislation. If we make any significant changes we’ll show you clearly on our website, in our publications or by writing to you.

Whenever you engage with us through our websites, social media, email or telephone, or send us your personal information in any other way, we will process your information as explained in this policy. When you provide your information, you are agreeing to this policy. If you do not agree, please do not give us your data.
